Building Coordinators

Should you locate a building issue in Sherrod Library, please notify the Assistant Building Coordinator for the floor on which the problem is located. Assistant Building Coordinators will notify the Building Coordinator that a work order should be generated, inform you when the work order has been generated, and provide updates during the work order process. Direct any follow-up, work-order questions or concerns to the Assistant Building Coordinator.

Work Order Request Flow Chart

 

Building issue is observed and reported to Assistant Building Coordinator for the floor on which the issue is discovered. (If unavailable, report to another Assistant Building Coordinator or the Building Coordinator.) Custodial staff may place a work order request in the Building Coordinator’s mailbox for non-emergency issues.

Assistant Building Coordinator forwards work order request to Building Coordinator and copies Library Administration. If the Building Coordinator is absent, the appropriate Assistant Building Coordinator will submit the work order and assume responsibility for the remainder of the workflow process.

Building Coordinator generates work order, notifies Assistant Building Coordinator, Library Administration and affected parties within the building when work order has been generated and continues to communicate work order progress to the reporting Assistant Building Coordinator and Library Administration.

Assistant Building Coordinator notifies reporting staff member that a work order has been generated and notifies affected custodians by placing a copy of the work order in custodial mailboxes.

Facilities receives work order and processes accordingly.

Building Coordinator tracks and communicates work-order progress through completion, notifying Assistant Building Coordinator, Library Administration and affected staff.

When the work order has been completed, the Assistant Building Coordinator notifies reporting staff member. Assistant Building Coordinator will notify affected custodial staff of work order completion by placing a notice in the appropriate custodial mailboxes.

 

 

Non-life threatening Emergency Procedures

Elevator failure, extreme temperatures, power outages, and water leakage are considered non-life threatening emergencies. In these instances, immediately contact the appropriate Assistant Building Coordinator and Library Administration. If the Building Coordinator does not confirm work order entry within 10 minutes, the Assistant Building Coordinator will assume the responsibility of telephoning Facilities, generating a work order, and completing procedures of the regular workflow process.
